Annual General Meeting 2025
Dear members of Better Transport Queensland Inc.,
This serves as formal announcement of our Annual General Meeting, to be held on Sunday the 23rd of November 2025 from 10am-2pm at the Carindale Library, 1151 Creek Rd Carindale.
Strictly speaking, this is the most important meeting the organisation has each year. We’re a member-led organisation so it can’t happen without you!

Agenda
Formal business at the meeting will consist of:
- Motion to define the roles on the Management Committee (Ordinary Resolution)
- Election of the next Management Committee
- Presentation of the financial and verification statements for the 2024-2025 Financial Year
- Presentation of the Annual Report
- Review of Membership Fees
If you have a Special Resolution (i.e. a Constitutional amendment) you would like to put, there is technically still time for it to be considered (as 14 days notice are required; please have it in by 6am on Sunday 9th).
Please note that as the “Left Turn on Red” Provisional Stance has not been adapted (nor adopted) as a Policy Amendment Proposal under By-law 4, it will not be able to be considered at this meeting.
Motion to define the roles on the Management Committee (Ordinary Resolution)
Presently, the size and composition of the Management Committee (MC) is defined by the BTQ Constitution (President, Treasurer and Secretary) and the BTQ Handbook (all members).
The Constitution does not set a size for the MC. The Handbook specifies that we have a Webmaster, Member Events & Safety Director, Legal & Governance Director, and two Non-Executive Directors. (This year we haven’t had anyone take up Events or Legal.)
The outgoing MC propose that we tweak this a little, bumping the Events role down to Working Committee and replacing it with a Branding and Content Director. This role would primarily involve leading our social and other media efforts (while not necessarily being a spokesperson).
The motion will be to formalise this.
Election of the next Management Committee
Constitutionally, we must elect a President and Treasurer as well as other MC members, with the Handbook specifying eight total positions.
When we elect someone to the MC, it will be for a specific position.
If you would like to nominate for the MC, you’ll need another member to endorse your nomination, either by signature, or by verbally seconding it during the meeting. Please refer to the attached form, which can be submitted at the start of the AGM.
Please be aware that BTQ does not have Public Liability Insurance.

Presentation of the financial and verification statements for the 2024-2025 Financial Year
Please refer to the attached document. In summary, we had no formal transactions in this financial year.
At BTQ’s current size and revenue we are not required to appoint an external Auditor.

Review of Membership Fees
Constitutionally, our fees are set by resolution of the members at a general meeting. The outgoing Management Committee does not propose changes to the current fee structure, but it may be useful to discuss it. By default fees will remain the same.
Proxy voting and online attendance
We will endeavour to support online attendance, similarly to Policy Day in April and the more recent online-only general meeting, so as to allow for remote participation. If you can only attend remotely, please let us know.
The use of a proxy is also permitted. If you’d like to appoint a proxy, please fill out the attached form, and submit it to the Secretary via email ([email protected]) before the start of the meeting.
